Job Description – Assistant to the CEO

Voto Latino Foundation (VLF) seeks a dynamic Assistant to the CEO, who has a passion to meet the moment that our country is experiencing. A new position, the Assistant to the CEO will be the key liaison between the CEO and all internal/external stakeholders as the organization expands its ability to engage, educate and empower young Latinx and build a stronger and more inclusive democracy.

The Assistant to the CEO must thrive in a small, mission-focused organization that moves nimbly to meet the needs of the moment, enjoy the pace of a campaign-style set of deadlines and exercise judgement and discretion while working closely with one of the most visible Latinx leaders in the movement. The Assistant to the CEO will report to the President & CEO and begin immediately.


  •  A broad variety of administrative tasks, including scheduling support, travel logistics, briefing information and other related duties in collaboration with the Executive Team to ensure seamless execution of the CEO's agenda and schedule.
  •  Travel to staff the President & CEO domestically and and at times internationally to provide onsite support and communicate critical updates and follow-up needs to the Voto Latino staff
  •  Interfaces with various departments for collection of information to prepare reports for President & CEO
  •  Works closely and effectively with the President and CEO to keep her well informed of upcoming commitments and responsibilities, following up appropriately.
  •  Communicates directly, and on behalf of the President and CEO, with Board members, staff across the organization, donors, and others, coordinating with the Managing Director when necessary.
  •  Collaborates with key staff for presentations/materials for Board and Executive meetings
  •  Research, prioritizes, and follows up on incoming issues and concerns addressed to the President, including those of a sensitive or confidential nature in a timely manner.
  •  Updates material as needed (changes to attendees, time, place)
  •  Helps prepare folders for actual meeting material
  •  Scheduling and coordination for speaking engagements
  •  Other responsibilities and duties as assigned by the President& CEO.


Required Qualification

  •  Bachelor's degree or the equivalent combination of education and work experience.
  •  Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
  •  Strong writing and communication skills
  •  Experience meeting deadlines in a fast-paced environment
  •  Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), and Adobe Acrobat.
  •  Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  •  Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and donors
  •  Consistent record of juggling multiple tasks
  •  Ability to travel on Voto Latino Foundation business on a regular basis.
  •  Demonstrated commitment to and awareness of Latinx civil rights and/or issues of social justice


Preferred Qualifications

  •  Two-three years of experience supporting C-Level Executives, preferably in a non-profit organization or Congressional scheduling experience


Salary & Benefits

Between $45-55k salary. Benefits include partial payment of medical, dental, and vision insurance premiums and 20 days of PTO.
