The Special Assistant to Management Leadership for Tomorrow’s CEO / Founder supports his office by helping to manage operations and special projects for his team, including coordinating multiple threads of correspondence, maintaining a database of senior-level contacts, and creating and managing frameworks and processes that ensure maximum effectiveness and efficiency across the organization.

An ideal candidate for this role has juggled multiple priorities in a fast-paced environment, maintained a high level of professionalism, and crafted timely communications to and from multiple stakeholders, always taking the stakeholders’ needs into account and handling confidential information with tact and discretion. The role leverages technology, systems, and processes to build efficiency, and requires a strong sense of ownership and accountability to drive projects forward.

Reporting to MLT’s Chief of Staff, this position provides an excellent opportunity to hone organizational, project management, and audience-centered writing skills, in addition to building a strong knowledge base about how a top social enterprise and highly admired CEO operates day-to-day.  This position is located in our Bethesda, MD office (virtual during the current Covid crisis).

Key Responsibilities

  •  Work closely with MLT CEO / Founder and MLT Chief of Staff to maintain strong internal and external presence, maximizing the CEO’s time and facilitating his ability to lead the organization effectively
  •  Proactively manage operations for CEO office, establishing priorities and working to enhance the efficiency and effectiveness of his team
  •  Respond to key communications and requests from various constituents coming into CEO office: draft internal and external communications as needed, including emails, acknowledgement letters, PowerPoint slides, and memos/reports
  •  Manage scheduling and logistics of CEO’s meetings with partner organizations, senior leadership team, and Board, including researching and synthesizing content for meetings; making room reservations; capturing minutes; finalizing and distributing agendas, and procuring/producing participant materials
  •  Assist with calendar management, expense report preparation, and travel arrangements

Qualifications

  •  Bachelor’s degree or equivalent experience required
  •  Ease with technology with a high degree of proficiency in Google Suite, as well as Microsoft Word and Excel; the ability to troubleshoot related problems efficiently (e.g., with A/V equipment and conference call platforms such as UberConference and Zoom); experience with Salesforce or other CRM a plus
  •  Superior written and oral communication skills, with a proven ability to craft effective audience-centered communications, demonstrating a strong client service orientation
  •  Ability to manage relationships professionally with individuals at all levels, including MLT staff and alumni, Board members, donors, and external partner organization contacts, among others
  •  Exceptional time management and organizational skills with the ability to manage multiple concurrent projects of varying priority levels efficiently and effectively, collaborating with and influencing others as needed to meet deadlines and drive progress
  •  Superior judgment, maturity, and discretion to know how to manage confidential information appropriately
